Job Description

Colorado Springs Utilities Human Resources (HR) Department is seeking an Administrative Specialist to provide professional level, administrative support. As part of the Human Resources Department, you will help us meet our current and future workforce needs by providing support to fast-paced, high functioning teams. Typical responsibilities include:

  • Forecasting, budget tracking, reconciliation and reporting
  • Purchasing, processing invoices, making vendor payments, and coordination with Accounts Payable
  • Coordination and oversight of HR contract activity with Procurement and Contract Services
  • General administrative support such as scheduling meetings with other groups outside HR, copying, filing, organizing, developing presentations, taking meeting minutes, and preparing agendas
  • Maintaining and updating calendaring systems and coordinating scheduling of meetings and conference rooms
  • Updating and maintaining record retention schedules and coordinating records management across the department
  • Preparing and proofreading letters, memos, reports and other correspondence
  • Generating reports, spreadsheets, requests for proposals, presentations and other materials considered detailed and/or complex in nature
  • Coordinating travel for employees and candidates
  • Backing up other Administrative Specialists in both general and functional responsibilities

What will it take to be successful in this position? Most people will offer 3-5 years of administrative support experience along with a high school diploma or G.E.D. Additionally, to be successful in this role, the ideal candidate will offer the following skills and abilities (these skills and those detailed above should be reflected in your resume):

  • Effectively working in a fast-paced, dynamic environment with rapidly shifting priorities
  • Strong attention to detail and follow through with responsibilities
  • Strong technical skills and learning agility with computer systems, applications and technology, including strong Microsoft Word, Excel, and PowerPoint skills
  • Maintaining and improving department administrative processes and procedures
  • Organization, time management, multi-tasking, and problem-solving
  • Producing quality, accurate, prompt and reliable results
