Job Description
As an Administrative Assistant II, you will perform a variety of record keeping and general/accounting clerical duties that support the Fire Department and the Division of the Fire Marshal.
 
Essential Job Functions- the basic job duties an employee must be able to perform:
  • Support and assist the Support Section Supervisor with various projects
  • Receive and process open records requests regarding environmental property conditions and assessments
  • Oversee the front desk at the Fire Department’s headquarters building, which includes training, record keeping, coordinating volunteer activities, and maintaining written procedures, task lists, and fact sheets
  • Perform front desk opening/closing functions according to work schedule
  • Answer phones and research caller/customer requests; greet and assist customers, visitors, and meeting attendees; and provide information to the public regarding burn bans, extraordinary events, city resources, etc.
  • Assign, track, and manage key cards to ensure building security
  • Schedule and maintain conference room calendars
  • Receive, sort, and distribute mail, package & uniform deliveries for the Fire Department
  • Scan, catalog, index, and file division records, plans and code reference materials in a timely fashion; maintain a variety of files and records
  • Purchase office and miscellaneous supplies for various work groups
  • File and maintain the filing system for the Division of the Fire Marshal
  • Assist Fire Department personnel with projects as assigned
  • Assist Fire Department staff with updates to website content

You may be required to work additional hours during large-scale incidents, and you may sometimes work under extreme pressure.


We are looking for candidates who demonstrate:
Knowledge of:

  • Modern office procedures and technology, especially Microsoft Office
  • Principles and practices of record keeping

Ability to:

  • Read and understand descriptions of property
  • Communicate clearly and concisely, orally and in writing
  • Establish and maintain effective working relationships
  • Work effectively in a team environment
  • Perform job duties with a high degree of accuracy
  • Provide excellent customer service
  • Manage multiple priorities, deadlines, and multiple interruptions in a dynamic and evolving environment

This position requires strong organizational and customer service skills and the ability to prioritize and manage multiple projects.

Successful candidates will have
  • Equivalent to completion of the twelfth grade (high school diploma or GED)
  • Three years of full-time clerical or related support experience
One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education.

Additional appropriate education may be substituted for the minimum experience requirements.
Ideal candidates will also have
  • One year of experience in a customer service oriented position
  • One year of experience with a multi-line telephone system

The City of Colorado Springs offers additional compensation depending on the position, area of assignment, and specific job assignments, including shift differential, pay differential, acting or lead, special assignment, hazard pay, longevity, cell phone allowance, uniform allowance, relocation, awards, standby, call out, compensatory time off, tuition, overtime, extra duty, incentive, holiday premium, proficiency, and vacation sell back.

Physical Demands:
Exerting up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time.
