Job Description
Position Summary



The Office Specialist will provide diversified administrative secretarial duties for the department. Organizes, manages and carries out administrative tasks including routine and complex support needs. Coordinates multiple projects within specified time frames. Responsible to assist with scheduling patients, update and coordinate patient information. Promote patient confidentiality by screening incoming phone calls and all incoming visitors/patients to the office. Provide information regarding programs to referring MD’s and facilities.



Minimum Education Requirements




High school diploma or GED.



Minimum Experience Requirements




1-year previous Patient Scheduling, Registration experience.

Scheduling experience in a healthcare setting.

Customer service and strong telephone communication skills.

Experience/comfort dealing with the public, medical terminology, clerical skills (including computer competence).

A basic knowledge of CPT/ICD-9 codes.

Experience with computers and Microsoft Office, including Word, Excel and PowerPoint.

Greet patients and caregivers and provide whatever assistance is needed in a manner that reflects a high quality of service with the understanding that the provision of quality medical care requires active team work and professional conduct. *

Plans and organizes radiation oncology office functions and routines in consultation with administrative staff. *

Schedules appointments, maintains calendar, coordinates meetings and agenda material. *

Types and distributes a variety of documents including letters, memos, etc. *

Photocopies information, assist in maintaining records, communicates with physicians, patients, family members and visitors in person or via phone; handles or routes requests in a competent, courteous manner. *

Coordinates with other departments in coordinating effective patient care and administrative activities. *

Proactively identifies opportunities to improve productivity and manage costs. *

Prioritize multiple tasks and projects to ensure they are completed in required time frame. *

Maintain accurate, up-to-date department database. *

Adapts to rapidly changing technologies, policies, regulations and workload through sound critical thinking, priority setting and flexibility. *

Assists with working with insurance companies to acquire prior authorizations for procedures as needed. *

Orders supplies, maintains inventory and equipment, routes mail and requests, files, maintains logs, copies, prepares reports and other clerical duties as required for efficient department operations. *
